No-show recovery

No-show recovery is the follow-up process that rebooks guests or prospects who missed a scheduled interview or meeting. It treats a no-show as a scheduling failure to be repaired, not a rejection to be accepted.

Why it matters

A no-show has already said yes once. They are the warmest unconverted contact in the funnel. Recovery sequences routinely rebook a large share of misses at nearly zero cost, and the alternative is quietly writing off contacts your outreach already won.

How to do it well

  • Message within an hour of the miss, blame the calendar, and offer two fresh slots: no guilt, no 'we waited on the line.'
  • If the second booking is missed, switch channels (LinkedIn, a colleague's intro) before giving up.
  • Cap recovery at two rebook attempts, then move the contact into long-term nurture rather than deleting them.
  • Log recovery outcomes separately so your true show rate and your recovered rate are both visible.
