Guest outreach sequence

A guest outreach sequence is the series of emails (and sometimes LinkedIn touches) that delivers a podcast invitation to a prospective guest and follows up until they reply or the sequence ends. It is structurally identical to a cold outbound sequence, with an invitation in place of a pitch.

Why it matters

Sequencing is where the theoretical appeal of a guest invitation either survives contact with a busy inbox or doesn't. The gap between a 5% and an 18% booking rate is usually the sequence: relevance of the first line, credibility of the show, and clean follow-ups.

How to do it well

  • Lead with why them, specifically: the work, the announcement, the point of view. A guest invitation that could have gone to anyone converts like the cold email it is.
  • Keep the ask honest and light: one recorded conversation, a fixed length, no prep burden. Ambiguity about effort kills senior replies.
  • Follow up 2–4 times with new information (a relevant episode, a specific question you'd explore), never 'bumping this to the top of your inbox.'
  • Send from a real person who will actually be in the interview, on well-warmed mailboxes. Deliverability rules still apply to warm asks.
